Personal Information Protection Policy

We respect the privacy of the visitors to our website and are committed to protecting it to the fullest extent possible, in accordance with the provisions of applicable laws, including the Act respecting the protection of personal information in the private sector. This Privacy Policy (the "Policy") applies to both Filmar Inc. and its affiliates, and to the companies for which Filmar Inc. acts as agent (all of which are collectively referred to as "we" in this policy).

This Policy describes our standards for the collection, use, disclosure, and retention of your personal information. It also explains how we protect your personal information and your right to access it. Personal information collected offline may also be subject to contractual provisions, where applicable.

Personal information collected and purposes for which it is collected

Personal information is defined as information about an identifiable individual.

You can visit our website without providing any personal information about yourself. In this case, our web server will only collect the IP address you used to access the site. We use this information to determine the number and average duration of visits to our site, compile user statistics, identify the web pages viewed, and measure overall site performance.

The only personal information we collect is that which you voluntarily provide to us when submitting online forms to contact us or subscribe to our newsletters, or that which is transmitted offline as part of a business relationship between you and us.

This information is collected in order to:

• answer your requests, prepare quotes for you and follow up on them;
• send you Filmar news by email (products, advice, offers), only if you have consented to it;
• assess your needs and prepare commercial proposals to address them;
• if a company you are affiliated with asks us for credit terms, check the information necessary for this decision. This information is never requested in the site forms.

Website forms

Our forms (quote request, contact us, Goose 360 service, and become a partner) ask for your first and last name, email address, and phone number. Depending on the form, they may also ask for your company name, field or occupation, budget, desired timeframe, project description, files (plans, photos, sketches), and how you heard about us. Required fields are indicated in the form; the others are optional.

We use this information to respond to your request, prepare a quote for you, and follow up on your request by email or phone. We never sell your information.

Our forms are provided by HubSpot, Inc., which processes this information on our behalf. What you submit is stored in our HubSpot customer relationship management (CRM) software, hosted in the United States. Your information is therefore transmitted outside of Quebec and may be subject to United States laws. HubSpot acts on our instructions and is contractually committed to protecting this information. A copy of each request is also sent to our email address info@filmarnets.com.

To block automated submissions, the forms use Google's reCAPTCHA service.

Email news

Beneath each form, an optional checkbox allows you to agree to receive Filmar news by email. It is never pre-checked, and leaving it unchecked has no impact on the processing of your request. You can unsubscribe at any time using the link at the bottom of each email or by writing to admin@filmarnets.com. After unsubscribing, we only keep your email address on an exclusion list so we no longer write to you.

We also use cookies on our website. Cookies are information files saved by your web browser on your device (computer or mobile). Among other things, cookies make it possible to recognize site visitors as well as the order in which you visit the different pages of the site. We may use cookies to improve the operation of the site and meet the information needs of our visitors, and to identify and target site visitors who have shown an interest in certain pages of the site. Certain cookies make it possible to link the pages you view to the request you send us via a form, or to display Filmar advertisements on other sites. The tools below only load if you accept them in the cookie banner; you can change your choice at any time in our Cookie policy. Please note that you can configure your browser to be notified when a cookie is received and thus have the option to refuse the placement of the cookie on your device.

Google Analytics

Google Analytics is a web analytics service that provides information about how visitors use our website. The cookies used by Google Analytics document, among other things, how visitors access the site, where they come from, which pages they visit and how long they spend on pages within the site. Google Ads

This service allows us to measure the results of our advertisements and offer Filmar ads to people who have already visited our site.

HubSpot

This service records the pages visited on our site. If you fill out a form, these visits are associated with your request in our CRM, which helps us respond to it better.

LinkedIn Insight

This service measures the results of our LinkedIn advertisements.

Consent

When we collect personal information about you, we obtain your consent to use it for the purposes for which it was collected, as described above. We require your consent to use your information for other purposes or to collect additional information about you.

You may withdraw your consent at any time, subject to legal or contractual restrictions. For example, you will not be able to withdraw your consent if we need information to grant you a line of credit.

In certain situations, we must or are required to collect, use, or disclose personal information without your knowledge or consent. This occurs when, for legal or security reasons, it is difficult to obtain consent. This is particularly the case when information is collected to investigate a breach of contractual obligations, for fraud detection, or for law enforcement, and obtaining consent could compromise the purpose of the information collection.

Restrictions

We only collect the personal information necessary for the purposes mentioned above. We collect personal information directly from you, unless you have consented to us collecting such information from third parties or as otherwise permitted by law. We cannot disclose your personal information to anyone without your consent, except as may be required by law.

Your personal information is accessible only to persons authorized to access it and for whom it is necessary for the performance of their duties.

We may share your personal information with service providers or agents in order to ensure the proper administration of our products or to provide you with the services you request. These service providers or agents must agree to comply with privacy legislation before any personal information is transferred to them.

Retention period

We only retain your personal information for as long as necessary for the purposes for which it was collected:

• an inquiry that did not lead to a purchase: 3 years after our last exchange;
• a customer: throughout the business relationship, and then 7 years after the last sale, to comply with our accounting and tax obligations;
• news subscription: until you unsubscribe (only your email address will then remain on the exclusion list).

Beyond these periods, we destroy the information. When we destroy your personal information, we take the necessary steps to ensure that no unauthorized person can access it during the destruction process.

Security measures

We have implemented rigorous security measures to ensure that personal information entrusted to us remains confidential and is protected against loss or theft, as well as against unauthorized consultation, communication, copying, use or modification. However, we cannot guarantee the integrity and confidentiality of e-mails sent over the Internet.

Access and rectification

You have the right to know whether we hold personal information about you and to access it. You can also:

• ask us to correct it if it is inaccurate or incomplete;
• withdraw your consent at any time, notably by unsubscribing from our emails;
• request that the computerized information you provided to us be returned to you in a structured, commonly used technological format.

We will respond to your request no later than 30 days after receiving it.

We may modify this policy from time to time. The current version is always posted on this page, along with its update date. If a change affects the use of previously collected information, we will ask for your consent when required by law.
